Yes. Starters include: 180 transcription minutes you can use at any pace no credit card required. When you reach 180 minutes, upgrade in-app; all recordings/notes persist.
How fast can I start?
• Solo: Create account → 3-minute guided tour → record immediately (web, iOS, Android).
• Teams: Same day-one start + a self-serve video library covering co-signing, pooled minutes, and permissions.
Are there setup or onboarding fees?
No. In-app walkthroughs, videos, and a full knowledge base are included.
What platforms are supported?
Web, iOS, and Android. Multi-device sign-in with automatic sync of notes and uploads.
Can I change or cancel plans anytime?
Yes. Upgrades apply immediately (pro-rated). Downgrades kick in next cycle. Cancellation stops renewals; access continues through the paid term.
Will I lose work when moving from trial to paid?
No. All recordings, generated notes, and document history remain in your account.
Any capture best practices to improve accuracy?
Use a quiet room, keep the phone/mic within ~1-2 ft, avoid speakerphone, and speak naturally. A short mic check in the tour verifies levels before first use.
Which tier should I pick to start?
• Starter: Evaluate with real patients.
• Basic: Solo with heavy daily volume (~9k min/mo).
• Pro: Solo who also needs document ingestion.
• Teams: Groups needing pooled minutes, higher ingestion caps, and admin controls.
How many transcription minutes will I need each month?
Rule of thumb:
Minutes ≈ (patients/day) (avg recorded mins/visit) (clinic days/month).
Example: 20 20 22 ≈ 8,800 min/month, which the Basic plan's 9,000-minute pool covers with buffer.
What happens if I exceed my minute pool?
No interruptions. Either overage at $0.12/min (billed month-end) or upgrade instantly.
Example: 9,750 min on Basic → 750 $0.12 = $90 overage. If recurring, upgrade to lower effective cost.
Do unused minutes roll over?
No. Pools reset each billing cycle keeps billing predictable and usage visible.
What exactly consumes transcription minutes?
Transcription minutes begin accumulating the moment recording starts, as audio is processed in real time. Any audio sent for transcription including re-transcription or regeneration of that audio counts toward your monthly pool. Actions like editing, templating, or finalizing notes without reprocessing the audio do not use additional minutes.
How does PDF/image ingestion work?
Upload any PDF or image such as lab reports, referral letters, or imaging summaries and it will be converted into searchable text. The key information is then organized into an easy-to-read lab summary. You can apply any custom template you've set up to automatically populate the extracted details into your preferred format, such as a SOAP note or referral letter, ready for review and export.
How many documents can I process monthly?
• Pro: up to 500 pages/images
• Teams: 1,000 per provider per month
(Starter/Basic don't include ingestion.)
Does file type matter (PDF vs image)?
No. Each PDF page or single image counts as one ingestion.
I hit my doc limit mid-month now what?
Upgrade tiers or request a temporary top-up. We quote to match your pattern (one-off spike vs sustained load).
Why choose the Teams plan?
Shared console for real-time collaboration, co-sign, approvals; pooled quotas; higher ingestion caps; and org-level policies (retention, export, roles) under one invoice.
How many providers are included in Teams?
Five providers included. Add seats at $199 per provider per year; minutes and document quotas remain pooled.
Can I assign roles and permissions?
Yes. RBAC with viewer, editor, and admin roles ideal for billers, students, scribes, or auditors no extra charge.
How does EHR integration work?
Sold as an add-on. We scope your EHR + fields you want mapped, then quote. Typical flows:
• Automated export of finalized notes to your EHR inbox
• Field mapping (HPI, ROS, A/P, CPT/ICD if present)
• Write-backs (where supported) for selected metadata
Price/timeline depend on your EHR and mapping depth.
Is Insurance Eligibility Check included?
Available as an add-on for Pro and Teams. Pricing varies by payer mix and lookup volume (per-check or tiered). Run real-time eligibility within the workflow.
Do you support telehealth or phone-based recording?
Yes. Record during telehealth or in-person; it routes to the same patient note flow and counts the same.
What happens if a provider leaves my group?
Admins can disable, reassign, or remove the seat while preserving organizational records and the audit trail.
Do you support multi-location groups?
Yes. Create locations/teams under one org, apply distinct retention and permission policies, and keep a unified audit trail and invoice.
Are you HIPAA-compliant? What controls are in place?
Yes.
• In transit: TLS 1.2+ with Perfect Forward Secrecy (HTTPS)
• At rest: AES-256 (server-side) with keys in FIPS 140-2-validated HSMs
• Backups/object storage: AES-256 server-side plus client-side AES-256 for files containing PHI
• Access controls: RBAC, least-privilege defaults, MFA/SSO available
• Audit logs: Access, exports, and admin actions time-stamped and user-attributed
• BAA: Executed with every U.S. customer before production use
How long are audio recordings stored?
You choose 7 or 30 days, or set delete on export. Notes/exports remain per your policy unless you request deletion.
Will my data be used to train external AI models?
No. PHI is never used to train external models and is never sold or shared outside your org.
Who owns the data, and how do we exit cleanly?
You do. On request, we provide exports of notes and associated files. After required retention, we delete remaining PHI per policy and can provide a certificate of deletion.
